February 2001 Meeting Minutes


Agenda - Wednesday, February 7 - 8:30 am (Nicki)

1. Scanner and portable zip drive - Cable for zip drive on computer with scanner near the cluster stays disconnected until zip drive is attached. The cable should not be attached to the CPU, because it causes a conflict. Suggestions were made to either send students to the Assisted Learning Station, or leave the zip connected all the time and lock it down.

2. Book drop - Needs to be checked every day. Sharon will bring in the newspaper and Stephanie will check it every morning (except Tuesdays) for the rest of the books.

3. Valerie Schlesinger- She needs a little training in word processing to prevent extra printing. Sofia will work with her the next time a problem arises.

4. Returnables Trash Can - We either need larger trash bags or a smaller trash can. Nicki will look into getting larger trash bags.

5. Keeping a tally on statistics - Statistics need to be kept consistent. We need to develop a routine to decide what category a question falls under. Sofia is also keeping separate statistics on the phone questions coming through 7525.

6. Stray items in corner - They belong to STEPS. Someone should be picking them up soon.

7. Small HP Printer - The HP color printer/copier/scanner will probably go to Scott Voisine (for a small fee). Sharon has written John Murphy about it.

8. Monitors - Sharon reminded us that the monitors on all computers should be shut off when we leave for the day because they use up a lot of electricity.

February 14 - Sofia

1. Guest Novel account for weekend workstudy (Leslie) - one or more guest accounts will be set up for the workstudy student who comes in on Sundays.

2. Library as a loading dock (Leslie) - We are to accept no shipments after hours.

3. pencil sharpener (Stephanie) - Nicki will get a new sharpener at the bookstore (at the time I wrote this I believe she already got the sharpener and called to have new holes drilled. Thanks Nicki).

4. recycle bin for bottles (Stephanie) - the person on weekend duty checks to see if the bin is full and takes the bottles/cans in to be recycled.

5. IPEDS definition for reference statistics (Sofia) - Leslie will email or call the IPEDS people to clarify certain points. An update will be given later. The term "Informational" will be changed to Reference, and Computer will be divided into two parts: General and Instructional (instructional only in the directional sense - are you confused again? call 922 for the emergency reference librarians. However, they will service your area only if you promote anti censorship and soft toilet paper).

6. Netscape calendar (Sofia) - The class schedules will be taken off the calendar so we might use it more for our schedules. In addition, we have promised to make a habit of going to it in the mornings (like we do email) and trying to make good use of it. We will also continue to use the wall calendar.

7. Word and Wordperfect on circulation computer (Nicki) - Wordperfect will be put on the circulation computer. We will watch and see how this will work. If it does not work, then a lesser computer just for word-processing and Access (?) will be put behind the circ desk.

8. Book Drop - Sofia will be in charge of emptying out the book drop on Tuesdays.

9. Mail - Ann and Nita will pick up mail on Mondays, and Sofia will be back up to all days.

Staff Meeting February 21, 2001 Minutes: (Anne)

I. Laminating - It would be a good idea if we let the work-study student do the laminating. We also discuss the location of the machine and decide to leave it in its present location.

II Air freshener in 24 hr. room - We find that after classes and in the morning when we open the room, the quality of air is less than desirable. Sharon will talk to Dick Bouchard for advice.

III Voice mail - We're missing important calls. Sofia volunteered to get the voice mail in the morning. Sharon suggested that we change the message(s) every morning for that day to let our patrons know the library hours. Leslie will take care of changing the message(s) during the snowday(s). We decided not to forward the calls anymore.

IV Admission's library tour - Students are still not given the right information when touring the library. Sharon will talk to Karlene in admission's office. We also decided to move the old URSUS terminal in storage.

V. Reference work station - A decision was made to install reference software (ex: National Geographic) in the assisted learning station for students/patrons to use because it's a better work area. Students/patrons will need to check out the software so we can keep track of. Installation of software will be Sofia's job because of the many reference questions she gets. We will also keep a list of the software installed in that area. Whoever is at circulation will need to direct those students/patrons to the assisted learning station when necessary.

Other: Sofia mentioned that in mid-April she will do a tour of the library with a kindergarten group from Van Buren, and it would be nice to offer the little ones something special from the library. Sooo... we decided that each and everyone of us could submit a page to Sofia (dot-to-dot, story of Blake library, coloring page, shapes etc.). We will put these pages inside a nice laminated cover to give to the students as a souvenir.

Library Minutes - February 28, 2001 (Leslie)

1. Savin Copier - Nicki explained that the Savin did not have a duplexer. To print back to front use the manual feed.

2. Kindergarten tour - Nicki reported that we have stamps and are working on crayons. We discussed purchasing coloring books, but concluded we would still like to create a "Blake Library" activity book. We shared some ideas on what could be included. 3. Workstudy Tasks - Sharon encouraged everyone to leave tasks for the work-study students. Stephanie reminded that it is easier for the student if the task first go through her.

4. Closing - Stephanie did lock the door on Friday. We decided that the staff person that works the evening shift will lock the Handicap door at 9:00PM. We discussed Friday's closing procedure. Also we need to relook at the Fire Alarm Procedures.

5. Paper for color printing - We truly do have different weight paper. All paper located in cabinet next to Nicki's desk.

6. Discards - Sharon will talk with Terry to find out where all discards should be placed.

7. Modem software - Remind students that they have to have a UNET login and password before they can get on the modem pool.

8. Time for CD Install - Sofia reported she would like to take some time to load the reference software on the assisted learning station. (Thursday AM, March 1)

9. Next Agenda - Announce and include in minutes the individual who is responsible for the next meeting.

10. 525 - Still isn't working. We will try having 9-11 students pick-up 526 (Stephanie's phone) and include this as an option in the voice mail.
