March 2001 Meeting Minutes


Minutes for the library staff meeting March 7, 2001 (Stephanie)

1. Terry Pelletier: We are going to ere on the side of caution with this matter. The complaints about cleanliness will be monitored by Sharon. If further action needs to be taken, a decision will be made at a later date.

2. Phone: It was decided that no pay phone was needed in the library. Special Collections now houses a phone with the extension of 805. It is to be used by staff only.

3. Humidifier: This gracious donation will be returned to archives. It was deemed a health hazard to most of us who have allergies to mold.

4. Periodical Shelving: There is no cutoff year for the shelving of periodicals in the front of the library. Students have been placing very old issues on these shelves. To try to alleviate this problem, Stephanie will assign a student to each section of the shelving. Stephanie will also try to monitor the work of the students that are emptying the bin.

5. Patrick Garry Bouchard: This patron has been causing problems with student workers and staff. Nicki will disable the family logons. Sharon will compose a memo to be given to Patrick when he comes in wondering why his family's account is disabled.

6. Book Covers: Sofia is keeping them. Do not discard them.

7. Place for discard materials is outside Sharon's office. Be certain to still write discard on the items you place there.

8. Book drop: Sharon will get the newspaper and small amount of books. If there are large amounts of books, Sharon will notify Stephanie or Sofia to pick them up. From today, March 7th to March 14th, the staff person who comes in at 5pm will check the book drop for a second time. We will monitor how many books we receive in the box during the day.

9. Summer work study: We will ask for 4 students this summer

10. Overdue slips: Stephanie will make 2 copies. All staff are asked to check the folder on Stephanie's desk for materials that are claimed returned.

11. Coat Rack: Sharon will ask physical plant to make a rack that is attached to the wall.

12. Student List: the sheet is no longer under the front keyboard. If you find it, please return it to the front. In the meantime, be certain to use FK student accounts and not Farmington student accounts.

13. Arthur Ashe poster is missing. If found, please return it to Sofia.

14. An extra key for the weekend work study students is needed. Sharon will contact Physical plant to get 2 keys for the inside 24 hour room door.

15. The kindergarten tour has been postponed to April 24th. Stay tuned for further updates.

Georgine is responsible for next week's agenda. First item for the agenda might be the book drop.

Staff Meeting Agenda (MAR 14, 2001) (Georgine)

1 Taking Canadian money for copier:
We can not take Canadian money

2. Summer Schedule:
As there will be more students and more classes this summer. Faculty would like the library to stay open more hours.

  1. Work studies will do Wed night until 7:00pm
  2. Sun 1:00 to 5:00pm
  3. Other hrs, (as needed by faculty) by appointment

3. Book Drop (One more time!!!):
Do not need to check book drop in afternoon at this time, but might start again near end of semester.

4.Other: Meeting Schedules:
All staff should double check before meetings, making sure someone is here for reference questions.

Library Staff Meeting Minutes Wednesday, March 21, 2001 (Sharon)

Things to do are bolded:

1. Annual Report - Leslie left word to remind all staff members to provide her with preliminary annual report information (Cut off date for statistics is May 4th - however, reports can be in before - SofiaB).

2. Handicapped door (again):

Again, the handicapped door was left open. Two suggestions for a solution to the problem were made. Leslie suggested that Stephanie be responsible for every Friday closeup, with Leslie, herself, the backup when Stephanie was not here. Sharon suggested that the person whose weekend it is to work be responsible for closing up that Friday. The staff discussed the advantages and disadvantages of both suggestions. Since it is Anne's weekend to work next, she will be responsible to close up on this coming Friday. A final decision will be postponed until Leslie can be involved in the conversation and decision. (This should be on next week's agenda.)

4. Cataloging (Juvenile call numbers):

Anne and Sharon discussed the juvenile and young adult call numbers which need changing from a letter system for the title cutter to a initial letter/number system. They asked the staff to be on the lookout for those that have not already been changed.

5. Xerox paper:

For whatever reason, work study students are taking the reams of paper from under the circulation counter and supplying the student printers. Stephanie asked help in getting students to understand that the paper for the student printers is in the server room. The paper under the circ counter is library paper for the copiers, the fax, and the staff printers. It should not be used for either of the student HP lasers IV and IVSi.

6. TP--revisit this issue:

The staff discussed the toilet paper again. It does seem the latest version is better than the first version. Four of the 5 staff persons presented related that they have been using the paper supplied by physical plant; therefore it was decided that we would no longer use bottle money to purchase toilet paper.

7. Agenda minutes discussion:

We reminded one another to get the minutes written quickly and completely. It will help when issues, such as who is supposed to close up on Fridays, come up, and we can't remember what was decided or if anything was decided. Nicki was asked to keep the agenda as well as the minutes, in case someone didn't get around to writing the minutes. Also, follow-ups to agenda items that were not completed should be done at subsequent meetings.

8. Pete's Backup & how that affects library closing the 24hour room:

Closing up on the Fridays Pete does a backup is different from other times. We are to:


Pete will be asked to put the backup dates on the Netscape calendar.

9. Health Care meeting:

This was on the agenda twice. See 13.

10. Nicki's summer schedule:

Starting on April 1, Nicki will arrive at 7:30 AM and leave at 4:00 PM each weekday. Beginning after graduation, she will open the library at 7:30 AM. She will need to be trained on checking out reserves in case anyone needs that before the staff comes in. Sharon will be the backup for when Nicki is not around and is responsible for finding a replacement should both be gone.

11. Bangor Daily News (Steph):

The library has opted to help the Archives with the clipping project of the BDN. Students who work 9-11 and those who work on the weekends are good candidates for doing this project. Stephanie has the instructions developed by the Archives. They will be put on our internal library website. Staff members who work at night should remind the student who will work 9-11 about the project. Weekend staff should train and supervise weekend work study students until they seem capable of doing the project on their own. The papers are in the server room.

12. Maine Sunday Telegram:

This has been postponed until Leslie and Georgine come back. Sharon confessed to having forgotten to pick up the paper on Sunday, March 18. When Georgine went to Gas and Go on Monday, they had not saved a copy even though it was prepaid. We feel that this should be looked into again. Maybe the grocery store would be a better bet or going back to subscribing by mail. (This needs to be on the next agenda.)

13. Health care on March 27: 9 AM and 3 PM :

Everyone is encouraged to attend this non-mandatory meeting, but we should no all go at the same time. Stephanie, Sofia, and Leslie will go at 3:00 PM. Anne, Nicki, and Sharon will go at 9:00 AM.

14. Work study students doing reference work while the reference librarian is available:

Sofia asked to discuss that fact that work study students are taking it upon themselves to answer reference questions even when the reference librarian is at her desk. Stephanie explained that 3 of our returning students--Nita, Laurie, and Sharon Hall-- had been trained to help patrons because of our lack of staff. In general, it was agreed that students should not be the first line of reference help. The reference librarian is encouraged to gently take charge.

15. Magazines and journals:

Again, Sharon confessed to not getting the journals and magazines found in the bin on Saturday put back on the shelves. The items were not shelved until Stephanie came in on Tuesday afternoon. There still seems to be confusion about how to go about shelving. In our conversation at one meeting, we talked about filing by years. Then we discovered that was illogical because volumes often crossed yearly dates. Then a decision was made to make it "full and orderly." This is still a confusing issues, and staff would like to request Georgine to bring some order to it.

16. Work study and assignments:

There was a lengthy discussion regarding students and their work habits and/or what to assign them. Stephanie, who already does a good job of informing Sharon on her weekends, agreed to make a list for each person who works on the weekend regarding tasks that can be assigned. She will also supply one for Tuesday mornings. We also discussed such things as low student wages, assigning menial tasks (cleaning, washing tables), and what work study should be. This needs to be an ongoing conversation.

17. Letting Lisa & Nick, Neal, Peter, and Art join our Netscape calendar.:

Pete has already begun added his appointments to the calendar. Sharon will encourage Lisa, Nick, and Art to use the calendar also. Leslie should encourage Neal.

Minutes for 3/28/01 (Nicki)

1. Students going behind Circulation Desk - patrons should not go behind the circulation desk, although some just want to help us find what they are asking for.

2. HP color printer and transparencies - Do not open the toner cartridge panel (grey button on left) unless the printer is telling us too. It disrupts the rotation cycle of the toner cartridges. Also, we should print transparencies in the Savin only, since the ones that we have to sell to students are Savin brand.

3. Vacuum cleaner for Stacks - Demco has a vacuum that straps around your waist, it is expensive. The point was stressed that it may be noisy and we should pick an appropriate time to vacuum those shelves - if at all.

4. Handicapped Door - revisited - The procedure of having the weekend person close on Fridays worked well the first week- Anne had no problems. Stephanie will close on the "exception Fridays" (like this Friday since we are closed on the weekend). Leslie will be her backup when she is not here.

5. Maine Sunday Telegram - We agreed to finish using the money at Gas-N-Go, then we will ask Georgine in she will pick it up at St. Peter's Store on Sunday's. Rite Aid also sells the Maine Sunday Telegram and they may be willing to hold one for us if the other solutions don't work

6. Cleaning-Sharon's talk with Terry - Terry is concerned that the building is not as clean as he would like it to be, but he promises that it will improve after the April break.

7. Bypass Key for Xerox copier - Staff should be careful not to leave the keys in the machine unattended or to turn the key "off" when done copying.

8. Creating a charge for photocopying on a student's account - We can put a charge on a student's account for photocopying, but they should know the consequences of having a hold on their account. They can, however, still access their grades on DSIS.

9. No Access Office Outside Door - If we know that someone opened this door from the outside, we should check to make sure it is locked afterwards.

10. Followup on Friday closings - See number 4

11. Followup on large trash bags for cans - Large trash bags are expensive. But, it seems that someone had better luck at putting our regular trash bags in the can. It seems to be working.

12. Followup on Work study assignments - The list of work study assignments is primarily for Tuesday mornings and the weekends. All work study students should know that all staff members can assign tasks to them when Stephanie is not around. When she is here, staff should ask her to assign the duties to the students. We also agreed that all work study students and staff should attend the orientation at the beginning of each semester.

13. Followup on library as a loading dock - Physical Plant did pick up the boxes in our entry way, but it should not happen again.

14. Charging photocopies and color printing to a class or faculty member - Most Division Chairs have instructed us not to charge student copying and printing to the division unless we are instructed otherwise. A question was raised about if we should question a faculty members request to charge the copies and printing to the division. Most of us said we would not question the faculty request.

15. Dr. Lyons - Sharon got a call from Dr. Lyons saying that the Library Expansion project is still in the bond package for the time being.

16. Other - We should check the paper trays in the Savin color printer before allowing someone to print to it. Most staff have been notified that it is their responsibility to retrieve their printouts and spare paper from the printer.
