December 2001 Meeting Minutes


December 5, 2001 (Nicki)

1. Microfilm - Leslie showed us that we need to change the cleaning bar on the front of the machine when a cartridge is replaced. That should prevent the trouble that we just had.

2. Audio Visual - When a student signs out a camcorder from AV, and they need to return it when AV staff is gone for the day, they will return it to the library. AV will pick it up from us.

3. Cat Express records upload to Ursus - Leslie can connect to local and get a file. Sharon reported that the System Librarian position had been frozen. When the position is filled in the future, Sharon will talk to them about Cat Express.

4. Security - still on hold until Dick responds to Sharon.

5. cd roms in reference have to have an override. can we do it another way? - Because the cd's in reference require an override, work study students can't check it out to others. We will try taking the O out of the status field and putting the Item Type as 2 hours.

6. Process for handling patrons with no ID - After reviewing the procedure that Stephanie and Sofia wrote, the staff decided not to follow it, but rather to keep notes(with date and initials) in a patrons record each time someone does not have their card. This will allow staff to identify "repeat offenders."

7. Books lent out of state - Leslie and Sofia are working on a packet for online courses. Leslie asked if the staff wanted to send books out of state. Leslie suggested that we do send them as a "confirm on delivery" package. The student would then be responsible for the return postage. The staff agreed in part because many of the items that will be sent out of state will be articles, not books.

8. Other - Stephanie reported that there are CD's missing from the jewel cases and from the pockets in the backs of books. She stressed how important it is for everyone to check for the CD every time one is checked out and returned. It was decided not to replace the ones that are missing.

9. Library Committee - Carol Browne asked Sharon if she felt that the Library Committee should stay as a separate committee or be joined with a larger Information Services Committee. Sharon reminded us that the Library Committee is a Chartered Committee. Most of the staff felt that it should remain a separate committee. Leslie asked for agenda items to try and plan a Library Committee meeting during final exam week. We decided that there are enough issues to both keep the committee and to organize a meeting. Some discussion arose about when we are due for accreditation. Leslie will gather the information from the last accreditation and we will review how we are doing at meeting the requirements. Everyone agreed that space continues to be a big problem over which we have little control.

December 12, 2001 (Sofia)

1. Mini-session on Fast - Sofia will make sure a session on Fast is included in the list of sessions. In and around the discussion on FAST, we discussed the po problems with standing orders. We also decided to have one 1.5 hour sessions a week. Sharon thought, and it was decided, we would promote the wordprocessing session as "Advanced Wordprocessing."

2. Creed Clayton's assignment - Creed asked if we would help him collect assignments from his students this weekend. We agreed. Stephanie will make sure the weekend workstudy students know this as well. When we take the assignment we need to put the date received on the top.

3. Staff Xmas Card - Nicki showed us the new xmas card. It looked really nice. We all ok'd it to go out.

4. Eref meeting on Monday - Sofia let everyone know she was going to Presque Isle for an eref (virtual reference) meeting. She is on the standards and policies committee. She also wanted everyone to know this was still happening, just slow.

December 19, 2001 (Anne)

I. Library hours: Starting January 2, 2002 through January 14, the library will be opened from 8 a.m. to 4:30 p.m.. First weekend to be opened will be January 19 from 12:30 - 4:30, a work-study will be on duty. Stephanie will be working on Sunday Jan. 20, from 1-9 PM. We'll be on regular hours starting January 15, 2002.

II WebCT: Leslie gave us an overview of WebCT and asked that we familiarized ourselves with this system to help out students whenever they will need the support during the coming semester. The system is now running on campus. She will be handing out information later today. Thanks for the information Leslie.

III. Distance Learning packet: Sofia and Leslie are putting together a packet to help out all on-line FK students, to inform them of what the library has to offer, to tell them what is out there when they need help, to make sure they get their ID and that their bar code is entered in the system. These packets will be mailed to the students so each and everyone of them has this important information.

IV New things happening: Sofia wants some input on what to enter in this area, that is on the "External page - What's New". Something specific to the library, for exemple: The 24 hr. room in 2002; Strategic Planning Special Initiative Funds we received... If you have any other suggestion, please let Sofia know.

V. Classified Staff Meetings: We have a lack of communication in this area. We need to inform and plan ahead of time with our supervisors to see if it's possible for us to attend all or some of those different meetings on the library's time and not leave the library short staffed.

VI. Patron without an ID: When a patron doesn't bring in his/her ID, we need to make a note of it in the record for Stephanie to run a list and see how many people we have/had that didn't come in with their cards. A suggestion was made that when students go to have their pictures taken, we could make arrangement with Lisa Fournier to tell students to pick up their cards at the library the following day so we would have a chance to enter their bar codes in the system and not run into these problems.

VII. Other: Discussion on students with Power Point presentation who need to do some correction on Nicki's comp. before printing need to be supervised All this is to prevent the spread of unknown viruses on our system which can be hidden on those disks or zip disks.
