February 2002 Meeting Minutes


Library Minutes - February 5, 2002 (Sofia)

1. 9-11pm workstudy position - Student needs to put actual time worked on timesheet. Some reasons why person in this position leaves late: patrons not leaving on time, door not shutting properly.
- We need to let Stephanie know if a student comes in late. She will make note of it on her calendar.
- Also discussed was the need of a clock in the computer lab (computer clocks do not always tell the right time.) This might help patrons leave on time.
- Finally, the person in this position needs to make sure there are no patrons hiding in the bathrooms.

2. When Indexes and Databases system goes - down we can use "search.epnet.com" to search for articles. Sofia will put a * next to unauthenticated sites on our Indexes and Databases so we will know what we can access when system goes down.

3. Clair - calling from Clair is not a long distance call. Yea!!!

4. Vacume Cleaner - is under the CD cabinet. The parts we will probably use most is with it. Other parts are in the downstairs periodical room.

5. The big shift - update - 1/2 way done. Holding off on buying shelving. Might be able to get a range this Spring. Upstairs moved to downstairs possible this summer.

6. Questions for Stephanie - gone wed-fri - Sofia asked for a list of tasks for the workstudy students.

7. OTHER

a. light in computer lab - should be on at all times, especially at night.

b. problem tasks to Marilyn - Sharon wants to send one long list, so everyone send in your problems to Sharon.

c. Mail - didn't get over to mailroom.

d. front door - new handles being ordered. Meantime we have a makeshift handle with locking mechanism on right hand side.

e. Wall Street Journal - discussed the differences between standard issue and Eastern issue. Some articles are in different places. Looks like all articles are there though.

f. Education classes summer term - Briefly discussed the first summer term education classes and how they would effect the library hours. No decisions or conclusion made yet.

g. architects - narrowed to 12

h. front lights - discussed the fact the lights keep flickering and going out. Is there a short?

February 12, 2002 (Anne)

Budget meeting:
- Candidate Westphal was chosen for our new Chancellor
- Sharon mentioned that there are 8 candidates for the president's search at the Fort Kent campus.
- On the budget note we were told that the health care cost increased by 18 million dollars which represents a 9% cut across the university system if we get no extra help.
- Higher education should not be targeted as per Governor King.
- Classified staff contract are being negotiated.
- Tuition will certainly increase between 2 and 5% for the coming school year.
- Enrollment down 900 credit hours.
- Universities in the system are asked to budget for next 5 years.
- Admission will go back to tele-counseling to increase enrollment.

II Laminator:
We need to be more careful when done using the laminator and make sure that it is turned off. Maybe the staff person on duty should check that it is turned off when closing Nikki's computer and photocopy machines at end of shift.

III. Microsoft Word, Excel, and Access will be installed on circulation computer.

IV Let it be known that we decided not to put a phone at the circulation desk.

Others:

Sofia wanted to know the status of one computer to be added upstairs and one computer to be added downstairs in the back for book search only. Sharon mentioned that this is still in "the plan".

During the March spring break, Sofia will be taking some time off during the first week.

Shelving situation/confusion - we need to leave a gap for wheelchair accessibility to the lounge area.

Confusion over the shelving ranges to be added or moved - my trust is in our experts who I know will resolved this situation in the near future.

Also...
talk is in the air about moving the juvenile and young adult sections next to the curriculum section.
.... that some of the shelves against the wall in between the cluster area and the computer room be used in the gap area.
.... we want to bring back, in stacks, books in storage at the President's house.

Connector building to be completed in the fall of 2003. The committee met and narrowed their search down from 12 architects to 4 for this job. Sharon thinks that "Reed" would be best for the job because of past library experiences. All 4 candidates are to appear in front of the committee on February 28 and one of the four will be selected at the end of the day.

February 19, 2002 (Leslie)

1. Access Database for Requestor Function - Stephanie reported that one of our work study students - Scott Grondin will be working on a new database to house the requestor function data. Stephanie questioned the group to what information should we include in the database, specifically do we need the title and author field. After a short discussion, these fields were determined to be important; that they would help us make better conclusions about the collection. Sharon encouraged us to copy the original database created, and populate the copy with data.

2. American Heritage - American Heritage and Horizon Canada's current labels would find them shelved amongst the regular curriculum collection stacks. The call number needs to be changed to reflect the proper location. Anne will train a work study to relabel them to reflect the PER location in the curriculum collection. The item records in the computer will also be changed to accurately reflect their location.

3. Special Collections and UMFK/Fort Kent in the News - Georgine brought to the group a problem of where to place a title "Maine Life". We try to keep publications which mention the University or the local area in Special Collections. Should this title be cataloged? How are we going to find it? If we take issues of a journal title out of the periodical stacks, how will staff know to look in Special Collections? Suggested to put place holders, copy front of magazine on card stock and laminate it. Sharon suggested to speak with the Archives to see how they work with the same type of materials. In the end, everything should be together in special collections. Georgine encouraged us all to keep our eyes opened for mention of the University or of Fort Kent in publications. As an aside we should be inquiring to Paper Talks to see what their plans our for binding past issues.

4. Summer Work study - We will ask for four work study students for the summer and sixteen for the academic year. Stephanie asked us to begin thinking about what projects our department will be doing for the summer, that will need the help of work study's to complete. It is very important that we keep in mind the serial work study position. If possible, to find a work study we currently have that could begin training this spring with Georgine.

5. Interlibrary Loan and Faculty Fees - We need to remind faculty that they are responsible for fees accumulated from other libraries- -other libraries will charge them. We will continue to send the faculty the bill and the faculty member is responsible for charging the division. Sharon will investigate.

6. PsychInfo - PsychInfo Direct has changed their pricing scheme. Leslie will try to get stats on usage but this resource will most likely disappear.

7. Other - Sharon asked if we received our password for Millennium cataloging

8. Other - In "Our Dream", it would be nice to have workstudy stations.

February 26, 2002 (Georgine)

1.- Reserve Items Fine-- Steph
Talked about guide lines for waving reserves. Stephenie will give Sharon list of reserves and Sharon will send to Marilyn to wave fines. May need to revisit this next meeting.

2. -Federal/Family versus University Holidays--Nicki
Employees do not get time and a half for University holidays. If we work we get equal pay for 8 hours or another day off. Ex: Can trade a Monday for a Friday.

3.-DVD–Ann
Need another location for DVD's. Looking into buying a cabinet just for DVD's.

4.-Sofia's Wed Schedule
Sofia will take off Weds. Morning off this week. She will be here in the afternoon this week only. Definitely not permanent!

5.Other-Sharon Hall will no longer be working as a work study.

6.Other-Discussed Conceptual Plan again. Nicki passed around a cop of the plans.

7.Other-Milcat program is up, but Ft Kent has not received passwords as yet.

8.Other-Disused summer work studies again. Georgine will call Lena Corriveau for list of possible work studies.

9.Other-Need to but single entry shelving for those we removed. Extra space against wall might be appropriate for URSUS station.
