2. Noise - Long discussion of the noise in the Library, specifically the noise in the computer lab. Noise has been a reoccurring problem. Leslie reported that two students actually officially made complaints about the noise in the lab during the past 2 weeks. We decided to hang a sign, a big one, polite and yet straight forward to raise student awareness of the noise in the room. The staff agreed that we could set a better example and will try to be quieter. If a student is a nuisance we should call Scott Voisine - the student conduct officer (ext. 513 or 834 - 4385).
3. Bangor Daily - The Archives no longer will be keeping/collecting clippings of the Bangor Daily News. The Library will keep a longer run, 2 months in special collections and a month on the shelf. If we get requests older than what we are keeping (6 months back) we should let Georgine know.
4. Sunday's - There was some discussion of changing the time staff came in to work on Sundays. Ryan has been reporting being very busy. Stephanie has run check-out stats which appear low. To get a better understanding of what is keeping him busy, Leslie is going to make a spreadsheet to monitor questions and number of students in the Library.
5. Hole Punch - The current three hole punch for students doesn't work all that great. Georgine offered her's and we've decided to lock it down.
6. Time off - Anne will be off Friday, November 9, and Sofia maybe off on Thursday, November 8, 2001.
7. Student pictures - Sofia will be working on updating the Staff web page, including the student pictures.
8. Christmas Card - We will make another card, Nicki might ask for Neal's help.
9. Student Conduct - Sharon let us know that the Library may be a place where students can do "university service", along the same lines as if a student needed to conduct community service.
10. Match bond funds - Brief discussion of the Bond. It passed. A reminder that we need to raise some money, not exactly match but a portion.
11. Internet courses - The Library staff will meet with nursing to provide a library services packet to be included in their Internet courses.
November 14, 2001 (Georgine)
1.Special Initiative Funds:
Money has been awarded to collect books for four new programs.
2.Ordering on Amazon:
Ann set up a corporate account for ordering on Amazon. To order, will need a P.O. and no. they gave us.
3.Archives:
Discussed Where Archives might be located, and how it might effect the library. We also discussed who might be interested in donating to our matching funds. Just dreaming!!
4. Toner Cartridges:
Cartridges have been moved t o more convenient places.
Public Patron Printer: | Circulations |
Small Printer in Cluster: | Under the scanner in cluster |
Interlibrary Loan Printer: | Spec. Coll. Room |
Color Printer: | Nicki's Cabinet |
Printer in Lab: | In Ann's space |
5.Other:
Discussed many subjects. Such as phones and which ones should be allowed for use. Will try to camouflage Sofia's phone and students will be encouraged to go to phone in 24 hr room.
Also discussed what to do about money paid in for printers. Do we cut off people's printers to farce them to pay library fees. Sharon asked for a list of people this will effect and will write them a letter.
Next meeting: Sharon
November 21, 2001 (Sharon)
1. 999 Powell Hall - Sharon explained that the Registrar gives all incoming Canadian students the 999 Powell Hall address. When library staff see this address, we should ask the student for their correct address so that we can be sure they get overdue notices, etc.
2. Printers - We now have printers in every cluster in the library. Only the one in the all-night study room has the ability to duplex. There is a possibility that printers will be freed up from Nadeau Hall when more appropriate ones are purchased there.
3. Weekend Hours - Staff agreed to try a new pattern of library weekend hours. We propose to be open from 10-2 on Saturday with work-study student staffing only. Library staff would work 1-9 PM on Sunday, with work-study help. Sharon is the get the comments of faculty. This will be tried for the spring semester to see how well it works.
4. All-Night Study Room (closing) - Sharon thought the all-night study room would be closed for good after Thanksgiving; however we discovered that the library staff had not been informed in a definitive way that this would take place. We have decided to continue all-night study hours until December 21, at which time only Nadeau Hall will be available and there only through proximity cards. Staff is encouraged to inform students about this change, especially those working in the all-night study room. (Aside, not in the meeting, we need a new name for the room when it closes.)
5. Student scanning machine (other uses) - Since it appears that though conflicts do happen, there is not enough data to change the programming on the machine now. It would be easy to change by just removing access to the Novell network. Sofia suggested that we encourage students to save their scans to tiff files if they want to manipulate them. Tiff files are generally compatible with any graphics package.
6. Closing time - Sharon remarked that it was unusual that we had closed the library at 4:30 PM on Tuesday, November 20, since the holidays did not start until end of classes on that day. Staff agreed there was no harm done since students only wanted the computers and we left the all-night study room open.
7. Newspaper article - Sharon read a paragraph from the paper which announced a collaboration between UMFK and the Winter Sports Center. The article mentioned a web application that Leslie and Neal needed to know about.
8. Other
a. Millennium Acquisitions and Special Initiatives awards - Sharon expressed concern that we make sure to select materials and order them for delivery before the fiscal year ends. Materials that do not arrive during this fiscal year will not be paid through the SI award. Sharon is to talk to Rachel about getting the list of nursing materials back in a timely manner. Leslie recommended to Anne that for these intense ordering projects that she return to Telnet acquisitions to speed up the process and use MilAcq for single orders to stay in touch with that system. Collection developers should have lists of materials to Anne for the winter break. Anne reported that CatExpress only works per one day cataloging and cannot gather the records by the week. In the process of working with invoicing, Leslie discovered where our CatExpress records are uploaded to Ursus. Sharon is to communicate to Marilyn Lutz after Leslie demonstrates her find.
b. Reference - Sofia reported that she had to ask a student to quit talking at the public Ursus computers. Staff agreed that this was acceptable and understood, given the particular student. In addition, the patron suggestions on Ursus were brought up. Staff discussed that no one had been reading them. They are very outdated. Sharon will call (already done) the system about this problem. (Already done, with letter sent to Tom Abbott for distribution to directors.)
c. Patrons - Leslie reported that our young patron who was banned from the library for a while is coming to the library again. This was discussed for a while, and staff decided to leave it be unless something else happens with this person. Sharon was to talk to Dick Bouchard about a process for security if the person becomes a problem which we can't handle.
d. COS103 - Staff discussed complaints that they are hearing about COS103. They also reported having to help the students a lot.
e. Vacation time - Leslie reported that she would be leaving Dec. 20 at noon and would be gone the whole week after (24-28). Anne will take some paid leave and perhaps some unpaid, but is not yet decided when. Sofia will work the week and will take care of the mail; she will take off December 6. Nicki plans to be away December 24-28; she will also be out part of the Tuesdays, 4, 11, 18. Sofia will notify the faculty that although the library is closed, they can make an appointment to come in.
f. Xerox - the old Xerox is out-of-order. It needs a new roller and web.
g. Microfilm machine - the machine still needs repair. It now is unfocused on the right side as before it was the left side. Sharon is to call Mike at Boise-Cascade, Mike, 498-8236.
h. Christmas Goodie Time - Staff decided that we would bring the refreshments for the week of December 10-14. We will discuss who brings what when at a later meeting.
i. Telephone message - The new message will include information about the all-night-study closure and the need for proximity cards.
j. Telephone rings - Sofia is to ask Lucy to program 527 for 6 rings and make sure that 526 is also 6 rings.
k. Staff party - UMFK staff party is December 14 at 8:00 PM.
l. Next agenda - Stephanie (sorry about the skip)
m. Craft fair - The craft fair is November 24-25 in the UMFK sports center.
November 28, 2001 (Stephanie)
1. Weekend Hours- SMJ sent a letter to all division chairs. One responded with a "do as you deem appropriate", so the library will move ahead with new weekend hours for the Spring semester. Student employee on Saturdays from 10am to 2pm (12:30 to 4:30 if student can't work the original shift) and Regular staff Sundays 1pm to 9pm.
2. All-Night Study Room (closing)- Sofia will post the scroll on other web pages that students might use. It seems that the staff would like to rename this room the "Library Computer Lab". Our handbooks need to reflect this change.
3. CatExpress records upload to Ursus- Leslie and SMJ will work on this. (Nicki please add this item to the next agenda)
4. Security- SMJ has contacted Dick Bouchard, but is still waiting for a response (Nicki please add this item to the next agenda)
5. Vacation time- Stephanie will be out from Dec.24th until January 2nd. Georgine was not sure, but thought she would be out Dec, 24th, 25th and 26th.
6. Microfilm machine- SMJ was going to investigate this; however as I write these minutes the repairs have been done and the problems seem to have been general maintenance and cleaning related.
7. Christmas Goodie Time- Dec.10 thru Dec.14 is the week for treats. Dec.10th Georgine (candy wreath) and SMJ (peanuts) will provide treats, Dec.11th Anne (fudge) Dec.12th Sofia, Dec.13th Nicki and Leslie (peanut butter balls), Dec.14th Stephanie (popcorn)
8. Telephone rings- Sofia and Stephanie's phones will now have 6 rings. Sofia will call Lucy to make the arrangements.
9. Questions for Tamara- Leslie will talk to Tamara about the exhibit policy, things we hang in the entry and people that ask about library users.
10. Annual Report- Leslie asks that all staff turn in 1. what did you do from May 2001 to Dec. 19th, 2001? 2. what has the library done since that time? 3. what are your goals for the upcoming year? 4. what committees have you been on and are going to be on? Turn everything in by December 19th.
11. Nursing Accreditation-The library needs to help nursing with this. We have been asked to provide some info and we will do that. The info will be compiled by library staff (sounded like Leslie) and handed to nursing in a concise, ready-to-use format.
Others:
1. Our Christmas card photo will be done on Dec.5th,2001. Staff are asked to wear either a Burgundy(maroon, wine) or Green shirt. Nicki will remind us on Tuesday.
2. Nicki will make Christmas posters for the library.
3. Computer upstairs on the right has spots. (it's not contagious) Arthur is looking into it.
4. Turn off or restart computers to activate Clean Slate.
5. Georgine asked for a mini-session for file management. Sofia is working on having one during the Spring semester.
6. Wednesday was recommended as a good day for mini-sessions for faculty and staff.
7. Cinahl password is not truly for full-text articles, Stephanie misunderstood. It is a password for administrative functions such as creating lists.
8. Autocad is loaded on SMJ's machine. SMJ and Leslie shared their passwords with the staff.
9. Nicki's PC will continue to be used for color printing although the need to be vigilant about viruses is heightened.
