December 2002 Meeting Minutes


December 3, 2002 (Sofia)

  1. Subjects students are borrowing from other places:
    We are currently trying to determine how to get the proper requestor information which will let us know what materials under what subjects are borrowed by our students from other libraries. Laura Gallucci needs to know "specifically which types of reports [we] are looking to generate..." Information she gave us so far is, "...I believe requestor items are included in the circulation stats you are referring to. What makes me believe this is that there are separate location codes set up for Colby, Bates, Bowdoin, etc., and when I was experimenting with creating some checkout stat charts in web management reports, these location codes were sometimes listed if the system detected activity on the code."
  2. Fax prices:
    We will now charg $2.00 for the first page sent and $1.00 per page thereafter. 800 numbers and fax receipts will still be free.
  3. S.T.E.P.S.:
    The library is receiving an undisclosed amount of money (somewhere in the area of $250-500) for purchasing education materials. Sofia went to the Winter Solstace event hosted by S.T.E.P.S. and spoke briefly on the types of materials and titles we might purchase with the money. We should be receiving the check sometime next week.
  4. Incentives for workstudy students:
    Stephanie discussed her desire to provide positive incentives for her workstudy students. Such things as stickers, candy, etc. were discussed. Sharon was hesitant in using such devices to motivate the students, but Sofia and Stephanie reasured the group that this would be done sparingly since over use of incentives can become meaningless. We also discussed how to pay for the items. The group agreed that the items should be paid for out of the library fund. However, a small amount of the bottle fund will be used to purchase a few incentives to give it a trial run.
  5. Baked goods:
    During our week of bringing snacks (12/9-13)we will not bring snacks on that Thursday and Friday since workstudy students will be heading home. Sharon will bring her peanuts this week and the rest of us will double up Monday, Tuesday, and Thursday.
  6. After the move party!:
    After the move has happened (sometime next summer)we will use our bottle money to put on a pizza party. We will invite various people who have helped with the move. Nicki has offered her deck for the party.
  7. Blue papers in books:
    Stephanie is currently pre-measuring and arranging the books for the move. Blue papers are being used as place holders to mark the end of a shelf. Labels are then taped to the shelf under the last book. Please leave the blue papers in their spot until she is through with the project.
  8. Two carts for periodicals
    Georgine will need two carts on 12/9/02 to begin the moving the magazines.
  9. Bookends:
    The circulation department will run an inventory of what bookends we have and what we will need.
  10. S.C.O.O.P.:
    Sharon will investigate statewide purchasing for books, supplies, etc.
  11. Moving day:
    12/09/02 begins our moving. Books and magazines will be crammed and some shelving will be taken down during that week. Circulation will help plan for workstudy students to help.

December 12, 2002 (Anne)

  1. Incentives: postponed for the next meeting

  2. Cash management training: On Tuesday, January 7, there will be 2 training sessions for those of us who deals with cash during our work day. Most of the library staff will attend the first session at 10:30 a.m. in Grindle and Sharon will attend the afternoon session, specifically for account managers.

  3. Catexpress: We'll do the best we can to catalog the most items before February 2003. Also, we will go down one subscription level, that is, buying 1000 records instead of 2000 for the coming subscription year which starts February 2003.

  4. Holiday hours:

    the library will be closed for staff & public on Dec. 24, 25th & Jan. 1st. From Dec. 24 to Jan.5 - closed to public
    Jan. 6 to Jan. 10 - open 8 am to 4:30 pm
    Jan. 13 - open 8 am to 4:30 pm
    Jan. 14 and on - regular hours
    Jan. 20 - closed (Martin Luther King)

    Sharon will make sure to send an e-mail message to all faculty and the president to let them know that we will be open by appointment if they need to use the library.

    Nicki will take care of posting the holiday hours for all to see.

  5. The move: We mentioned it would be nice if we could take pictures of the different calculated steps of the move that we will be going through. Leslie will send us an e-mail at the beginning of each week to inform us of what is to be done during that week and an update will be given at our staff meeting. So far, serial has been moved and is waiting to be put up in the exhibit area. Many titles will go in the back room because of space problems and Georgine will send us a list of those titles that are to go in the back room. The juvenile and curriculum section have been moved.

  6. The collection: The weeding of our collection is essential and it was decided that the quality of it is more important than the quantity right now. Sharon, Sofia and Leslie are now and/or will be continuing the weeding of the different part of the collection.

  7. Budget: Leslie needs an up-to-date account, by Jan. 6, of what each department has accomplished so far.

  8. Annual report: talked about the goals section and what was accomplished.

  9. Other: Stephanie and Anne might be switching night next week (Stephanie will let Anne know if it's possible). Thank you for considering this Stephanie.

  10. Leslie has the next agenda.
