January 2003 Meeting Minutes


January 14, 2003 (Nicki)

  1. Our 525 telephone number and redirection - Sharon
    According to Lucy, every redirect takes two numbers, so our 525 menu uses 8 numbers. There was a question as to how much it gets used. We all feel like it is worth keeping it going. Calls coming in to Circulation that really should go to someone else have greatly decreased. We will keep the system as is.

  2. Printing electronic reserves - Sofia
    Students are printing large articles from the public stations. We agreed that from now on, they will be asked to log in to their own machine, and staff will instruct them how to print the electronic reserves.

  3. Cash Register / Cash Box
    There was a question as to where to put the cash register and petty cash box when Circulation moves to the reference area temporarily. We agreed that the petty cash drawer is not used much any more and most of us make change from the cash register. Tamara has told Nicki that it is ok to combine the two. We will do away with the petty cash drawer and put $60.00 in the cash register instead of $40.00

  4. Others
    Templates - Leslie reported that Laura is working on them and that we should try them and let her know what is still needed or not working.

    E-Reserves - Internet Explorer needs to be set to accept all cookies in order to get into Docutek. Also, the Java should be enabled in IE 6 for the Live Reference to work. Nicki will ask Pete to make sure this is set for the next round of Ghosting.

    Monday February 17 - President's day holiday. Nicki will work and take another day off (either Thursday or Friday) Anne will work and be out on Tuesday. Stephanie will take Monday off.

    Serials Database - Leslie and Georgine are working on making the serials database searchable from the Library's web page. The staff gave their opinions about what fields they would like to make available.

    Work-study - We should ask for our work-study students under the 3 separate supervisors. For the summer we will ask fo 4 - 1 for reference, 1 for serials, and 2 for circulation (one for the front desk and one to help move books.).

January 27, 2003 (Sharon)

  1. Can we take the password off of the assistive learning station? (opinions from all)

    It was decided that the staff would be better served to take the password off, especially since the other scanning station is having problems. It was decided also that Deep Freeze will be added.

  2. What to do with the DVD's (traffic is missing, just the dvd not the case)

    There is concern that the DVD's are much to easy to take away. It was decided that they should remain behind the circ desk and a list be provided for people who like to browse. Sharon is to discuss with Nick about the glass cabinet they have never put together.

  3. audio books---quest for space.

    After government documents get moved to cataloging, the brown cabinet where they are now will become available for the audio books. Staff also discussed the Macintosh CDs and laser disk. Anne was asked to delete 3 items and donate them to Wisdom High School.

  4. printing pdf files from the databases. must use adobe acrobat reader printer icon. How do we get the word out?

    Students are getting blank pages when they use the browser button instead of the Acrobat Reader print button. Leslie will broadcast a message over WebCT. Sofia will put a notice in the campus newsletter. Nicki will generate some signage.

  5. Tampons in staff bathroom

    The tampon machine in the women's bathroom broke. Until it is replaced, staff will sell them at 10 cents each, the money to go in an envelope in the petty cash drawer.

  6. student employee update

    We have a full complement of workstudy students; however 3 of them cannot start working yet because they must have social security numbers. There is still no workstudy from 1 to 5 on Sundays.

  7. Cataloging Standards Committee meeting

    Leslie reported on her trip to the CSC meeting. She discussed authority control. For instance, Peoples with Disabilities now replaces Handicapped as a subject heading. She discussed Millennium issues as well. We are asked to report anything that we have to go to Telnet to do. We should be trying to do everything in Millenium unless we just can't. Also, we should test having two sessions of Millennium up to see if our systems crash.

  8. CLIRinghouse

    Sharon asked that everyone read a short article on digital information.

  9. Millennium Editor

    Sharon passed out Laura Gallucci's tutorial on the Millennium Editor. Anne offered to copy it and pass it out to Millennium users.

  10. Shelving

    Staff discussed the possibility of unencumbering money in order to buy shelving for the reference and circ sections. The cost will be $742.

  11. Direct Connect Server

    Sharon discussed students who have been affecting our network with file sharing servers.

  12. Sharon will be gone to Florida from February 18 to Feb. 26.

  13. We discussed the problem Nicki brought to our attention about Thursday mornings when Anne does not come in and there are no library staff members. Sharon said she would try to be more diligent on Thursday mornings and the Friday mornings that Anne is not here. Anne is to let us know if her being reponsible most mornings is a burden.

  14. Stephanie reported that electronic reserves was swamped. She stated that faculty needed to give her at least a week to be sure articles can get up.
