January 2004 Meeting Minutes


January 5, 2004 (Stephanie)

1. Income tax deductions: FYI it is a federal law that international student employees pay a minimum of approx. $15 per pay period into the IRS.

2. Confidentiality: A reminder that any information contained in our databases is confidential. We are not to give information out to anyone.

3. January 9th is a staff development day that revolves around the institutional accreditation. All library staff will attend meetings as appropriate. There is student coverage for the entire day.

4. Polycom: added to the Daigle Conference room using bond money.

5. King Entrance: Opening Monday, January 12, 2004. First person to enter the building should open the handicap accessibility doorway. Staff whose offices are closer to the new entrance should consider using that one to prevent to usual tracking of mud, salt and snow.

6. King Entrance: Leslie will send a packet of information to the King Foundation. It will include a letter and possibly photos of the entrance.

7. Vacation Time: Sharon will be away from March 12 - 29 and Sofia will be gone from March 7 - 13.

8. Faculty/Staff Due Date: Sharon recommends that we correct the "1 year renewal" problem by simply not allowing renewals. Library staff will check-in materials and check them back out to the faculty, as deemed appropriate and necessary.

9. Video Loans: processing fee will increase to $10; the number of DVD/Video checkouts will be increased to a total of 10 per patron and the late fee will be increased to $1 per day per DVD/video. Stephanie will find the accurate Itypes and relevant loan rules. Sharon will forward these to Laura. Students will be held accountable all fees accrued for DVDs and Videos. Including a $1 fee.

10. Reserve Items: Fees will be waived for reserve items if (a) staff/students forget to check the item in (b) the item is found on the counter or tabletop (c) the fee for the item is 1 cent to 99 cents. All other reserve fees will be charged as accrued.

11. Requestor Receiving: The red requestor receiving folder will now be filed by book title. It used to be filed by patron's last name.

12. Shelf tag holders: Nicki will order 100 of them.

13. Signage: Stephanie will now do signage for library hours, including holidays and vacations.

14. New book location: Stephanie will explore location names in the annual report to see if we might free one up for new books. Tabled until next meeting.
