January 2011 Meeting Minutes

Leslie filled in the library staff as to the arrival of the athletes and what our part will be in trying to accomodate the Biathaletes for the World Cup.
- Athletes will be receiving a packet of information. Leslie will see to it that the library gets the same information in order to serve them better.
- All work study students need to be informed of what kinds of questions they may encounter while working their evenings. Need to be friendly, helpful and accommodating.
- Work study students still need to lock the main doors as usual. The inside doors to Powell will be left unlocked but athletes need to be informed that the outside entrance at the end of the Archives hall will be locked. They will need to use the outside entrance at the end of Powell.
- Sofia and Deb will set up a “Biathalon Account” so athletes may check out books and DVD’s. Information we may want to gather: Name, team & Room number. Due date will be Friday since we are not open on Saturday.
- Library will kind of be the “service desk” or place to go when they have questions such as where to get more towels-will know more details at a later date.
- IT set up ID and password for athletes to be able to use their own mobile devices

- Not using guest account for athletes because it is really slow and is restricted to 4 hours
- We will not be open past 4:30 on Friday evening. It would be good to print copies of the schedule to hand out for people requesting them.
SCHEDULE
- Friday February 4-athletes will arrive around 3 p.m. There will be a check in for them. People will get fitted with uniforms.
- Saturday-Orientation in Fox-would be good to have copies of schedule
- Sunday-Crendentialing in Grindle
- Tuesday-team captain meeting in Nadeau Teleconference Room(might not be big enough)-training during the day (Team captains will be meeting every night in Nadaeau Hall)
- Wednesday evening-Cocktail Party in Archives from 7-9 p.m. by Invitation only.(Expecting about 60 or more people) It will probably be loud in the library. Sofia suggested closing the doors near the exhibit and possibly allow overflow of Archives to come in front part of the library. They will place coat racks out in the hall.
- Thursday-home basketball game. Bob and physical plant staff will start getting the gym ready for the 12th & 13th. Need to set up special lights and will be very busy. Expecting about 600 people for these events.
- Friday 11th- Parade at 6. Sofia will be leaving work early to get set up in the parade.
OTHER DISCUSSIONS
- Next year the theme for the Foundation is “COMMUNITY”. Sofia will work on a proposal to re-do the Exhibit Area –include a display case, new lighting.
- When we have issues concerning bathrooms or stuff that would require staff from facilities, Eric would be first to contact and if he is already gone home we may e-mail or call Fran or Jeff Plourde. Jeff Plourde is Eric’s supervisor.
- Leslie gave permission to purchase $200 worth or DVD’s. Need to replace BLOOD DIAMOND which is missing and used a lot.
- If anyone needs screw drivers, first aid kit, flashlight they are located in the top door of the locker across from Asita’s desk.
- Lib Guides-Sofia will get in touch with Steve and Aaron to see if they may work on this during the summer. (actually, Sofia will contact them regarding updating web site. will work with libguides later. Sofiab)
- Downloadable books-becoming more popular-Public library is sending patrons here for them-Leslie will try to get an IPad so we may practice downloading a book on a device.
- Phantom Energy Reader-(about $25.00)-Sofia wants to purchase a few to circulate-Soriah is sending students to Public Library to borrow theirs-students used these last year in preparing for their projects for the Symposium.
- Deb suggested since we did not bring treats over to facilities at Christmas like we had talked about that we could put something together for them after the World Cup. We will put something together the week of February 21st.
- Leslie will talk to John about taking the expense for the new entrance out of the library budget for next year to expedite the process. Leslie applied for a grant through the Steven King foundation for the new roof for the library. Will hear in March if she has been awarded this or not.
