November 2014 Meeting Minutes

- Table cleaning: Deb will have work study students clean tables on Tuesday and Fridays. Flu & cold season has arrived and precautionary measures will benefit our patrons. IT has purchased cleaning supplies for IT work study students to clean computer labs. They should be cleaning the labs at least once per week. Sofia asked Leslie for a schedule of when they will be cleaning our computer lab.

- Campus Updates
- UMPI-Lots of changes taking place in their library. Currently Kim Sebold, a faculty member,is working 20 hours per week in the library as interim director, plus has her teaching load. Three library staff members are retiring this year. UMPI has made a commitment to hire 2 professional library positions. Kim has agreed to take on the role in Special Collections. They are in the process of weeding 10,000 titles from their collection. Keep an eye out if any of our records get deleted by mistake.
- Farmington-No longer has a library director-they have put a coffee bar in their library-they have noticed that faculty and staff are coming in for the coffee bar but are also utilizing the library services more. They have gotten financial support for the new furniture for this.
- Shiva-reported a grad student is doing an internship virtually. He did a library instruction session for one of the sites.
- James-The Kanopy Trial-Kanopy is like the JSTOR of video world. Set up for PDA-there will be a charge after so many hits and views
- JSTOR PDA Initiative for books-looking into vendors to purchase books and be able to share them. James and Deb are checking into it. We would pay $386 and Orono would pay $31,000. Sharon will be doing the processing.
- We are continuing to have problems with Ursus being slow
- Augusta- search is on for Ana Noriega’s position. Computer lab has moved to their library without IT help throughout the process. US:IT providing phone service only-no more in person IT help.
- Maine State Library(Linda)- trying to collaborate with Maine State Archives and Maine State Museum to share a position
- Bangor Public Library-Their renovation had stalled because they were over budget. A huge part of their collection (non-fiction) will not be available to request because they will not be able to access it because of the construction. Not sure if these items will be marked as unrequestable. Deb will bring it up at her meeting on Friday. They will be hiring 2 new reference people. ILead-digitization project.
- Orono-Joyce Is hosting Stephen King & John Melloncamp –gearing up for their 150 year celebration. Newspaper-MLIS Grant to digitize all newspapers in the state. If they do the St. John Valley Times we could purchase the microfilm cheaper than it would cost us to digitize.
- Maine Historical Atlas-our library should purchase-may preorder before December.
- Art In Maine-contains all living artists in Maine-Leslie will let Sofia decide if we will purchase or not.
- Maine Shared collections-Matthew Revitt Project-Grant money for this project expired. We could pay $500 to have our pint collection analyzed. but everyone is unclear as to what is expected and what it entails. Matthew Revitt is supposed to present the project at the next URSUS Directors’ meeting. If anyone goes to a meeting, and this topic comes up, try to get more information.
- Directors not meeting in November
- Discovery Service-The recommendation is to stay with Summons and give it a chance and try to fine tune it. Give time to further look into different options. Joyce Rumery is working on negotiating prices for 12 month and 18 month contracts-she will come back to committee with prices.
- Databases- each library has different views on core databases-depending on their campus needs. Some vendors give better prices for multi-campuses (ex. World Cat) some do not. Leslie would rather contribute money towards new initiatives as a group(ex. e books etc.)
- JSTOR- how many titles-need collaboration amongst campuses.
- Young Artist Exhibit-high school/middle school exhibit. The opening is on Tuesday December 2-scheduled for 6-7:30 p.m. Sofia will call Therese about either starting at 7 or 7:30 so it will be less disruptive in the library or change the day to the Tuesday before Thanksgiving where it will not be busy in the library because students will be leaving for break. President Hess & Dr. Dixon will be presenting awards at the opening.
- quaranteen: Student that has agreed not to come on campus until his girlfriend is done her quarantine. Leslie would like to be told if he comes in the library-not because he is doing anything wrong but for his safety.
- Coffee Money Issue-The coffee fund pouch has a running balance of $20.00. At the beginning of the semester $5 went missing and now there is $15.00 missing. To resolve the issue we will no longer be selling coffee when there is no library staff available to collect the money.
- VHS_DVD player missing from back room-Call Don to lock VHS DVD player in the left back room to make sure no one takes that one also.
- Focus on Faculty-Current policy is that no one can present unless they have a published work. Katie tried to get a list from Peggy Bard of those who have tenure and their publications-no luck. May need to adjust restrictions. Leslie will talk to Dr. Dixon.
Leslie will ask Kim Borges if she would like to do this. Peter Nelson is going to Chili in April-would need to publish something to be able to present.
- Scholar Symposium-this year the symposium will not be chaired by Jeff Dubis. It will be chaired by a committee headed by Scott Brickman.
Presenters-possibly people who did internships, faculty-try to get faculty more involved in this-discussion of having the afternoon off to have a campus beautification day-it would give students, staff and faculty to work side by side to better our campus.
- staffing: Leslie Guerrette has accepted a position in Portland. There will be a search for her position.
- Work Study emergency treatment- Student needs to be honest with Deb and Library staff about what is really happening with him and what he expects from us. We need to find out if these incidents are being documented. When Ray Phinney does training with RA’s Leslie will ask if Library Staff may be invited to be part of the training.
