May 2016 Meeting Minutes


May 11, 2016 (Sofia)

  1. New Donation form: Asita created/updated the donation form. It now says we don't accept vhs, cassettes, and cd's. Smell, mold, stains, etc. are also not accepted.
  2. Living Language: is an online website for learning languages. Looks like it is geared toward library staff and public. Sofia will look into it as well.
  3. Ebsco list: time to unencumber and close out line items.
  4. Wish lists: get your lists together so Leslie will have some idea what we need/want.
  5. Ebsco Renewal: It is close to time for the Ebsco renewal. There may be a serious number of titles we will cancel. Too many print titles are not getting use. Looking at Flipster as an alternative.
  6. Flipster: is a service that provides popular magazines and some journals in an online web format. Looking into it to see if it is a viable alternative to print. However, need to run a trial while students are on campus (next fall maybe) and poll students to see if they would or did actually use it during the trial.
  7. Other resource options: Pivot (a research based grant searching site)
  8. Supplies: make your lists, but no purchasing until after July 1.
  9. John Martin Papers: need materials, don't need new shelving just yet (but will down the line), patrons are not allowed into boxes on floor.
  10. AR stats: When looking at what volumes we have, we need to make sure the items at other locations (floating collection) is included. In addition, we need to make sure the items sitting on our shelves that belong to other locations are not included in the numbers.
  11. AR Floading Collection: with regard to floating collections, need to add new stats to both cataloging and circ books in AR. Cataloging will monitor items owned by other libraries sitting on our shelves. Will look at the general call number area, subject area, number of books... Circulation will monitor use statistics.
  12. Floating Collections: Other campuses are looking at coming online throughout the summer with the hope of all compuses in the system being online by fall 2016.
  13. Gov Doc records: All print items weeded were taken. Clean up of electronic records is next. Items will be reviewed for dead links and see if new links are available, items that might be weeded will be targeted and shared with Leslie and Sofia.
  14. ebook cleanup: dead links in the ebook records were removed or updated. Some issues have arisen due to Summon and the 856 field.
  15. Auto Shutdown: Deb will talk to IT about adjusting the time for auto shutdown on the computers. If it is a hassle for them to do it, then we won't ask them to do it. If not, then change to 4:35 (Sofia - I think we should not do this at all - there may be times I am willing to stay after to help someone, and I don't want the computer to shut down).
  16. One Card (or not): a new card system is getting put in place due to the new food services coming in. The original barcode will be the same one as will the pictures. Art is working on the process of change over. The card will allow students, faculty, and staff to eat at any campus (assuming you money on it). Some cool things it will do for us in the future (though it will take time to implement everything) are: can have the card access through one library door as we have discussed in the past and students can put print money on their card and print without needing the print machine. Again, all this will take time. It costs money.
  17. eportfolios: Make sure that students trying to download an eportfolio know the following: Do not use IE (won't allow them to select); Student must be signed into the portal and must be using their university gmail account. Any other account will not work; The tool being used is called Google Sites.
  18. Blackboard: upgraded. There are two links in the portal launch pad. One is the spring blackboard access (courses.maine.edu), and the second is the summer blackboard access (bb.courses.maine.edu). The summer access and url is the new url that will be used for fall and onward. If you get facutly or students looking for their course, make sure they are in the correct BB. In addition and confusingly, the fall online orientation is in the spring Blackboard. The new Blackboard is now a cloud based service.
  19. Task Screen: is an assessment system that also has a portfolio piece to it. It looks like we may be going to that system in the future. We are currently reviewing.
  20. Weeding VHS: VHS may be completly weeded except for what faculty use in classes. We may store those elsewhere and/or see if dvd options are available for purchase.
  21. Hall Signage: Nicki is working on hallway signage to direct people to different areas of powell, archives, and library.
  22. Tickets: Sofia will send in tickets to fix window by newspapers and to see if the electrical outlets can be removed from the floor of the computer lab.
