September 2017 Meeting Minutes
September 21,2017 (Asita)
- Fall Break Schedule
-
Discussion of hours during/around fall break. We will be open until 11pm on Tuesday 10/10/17. Deb will see if she can get workstudy to cover evening (no classes so they are not required to work). If she can’t get workstudy then library will close at 9pm. On Monday 10/09, Leslie will cover 1-5pm (possibly with workstudy).
- Nov. 10, Veteran’s Day Sofia would like to be open until 8pm (Deb will try get workstudy), if we can’t get workstudy then we’ll close at 4:30pm.
-
Once Deb knows whether any workstudy are willing to work these days she will let Sofia know. Sofia will update library hours on website as needed.
-
Sofia verified the times/dates with Leslie.
- Summon (Sofia)
-
As we help people, we need to try (test it out ourselves), in order to fully investigate it. We need to use Summon when helping campus and community patrons so they all know how to find things with Summon. Start with Summon, then if you want to you can double check in URSUS afterwards.
-
Also discussed issue with records showing in URSUS and not Summon, found out Maine Infonet was not updating or exporting records to Summon frequently, which accounted for the issue. We’re hoping this issue will be or has been fixed.
-
Asita is still working with MIN to resolve a Summon issue with content type-videos showing up as other content type (library holding or web resource, for example). Don’t limit content type to just videorecording until the issue is fixed.
-
Sofia is asking all staff to use Summon first.
-
Discussion around helping a particular patron who wanted Sofia’s help. Sofia needs support with reference questions, she is most concerned with patrons waiting until they can get help from her. Asking that we go the extra step to try to help.
-
Staff would like more Summon training.
- Twitter Account (Sofia)
- Other libraries in the system have official twitter accounts. Leslie says we have to get it vetted (see social media policy).
-
Discussed whether this would be a good idea for our library. Why use it? We could put what we need on website. Benefit of having it - information about snow days, quick way to send info, etc. Sofia thought of it because of the new III tools we’ll soon have.
-
Leslie - also need to run this by PR to see what they think.
- III Products (Sofia)
Sofia says we need an iPad to be able to use III mobile app. In next couple weeks encore will be up and running. Decision center will be available after that, assuming mobile apps will be available after. Sofia thought it would be helpful to use rest of semester for staff to get used to encore, then figure out how we want to proceed. Public won’t have access to it until we make it available.
- Leslie reporting out from her meeting
-
Administrative integration team for library resources met, it’s made up of a few library directors, procurement, led by person from Dr. Nealy’s office (Kim?). Chancellor wants everyone to have access to the same resources no matter which campus you’re at (possibly achieved through a library fee to students). Leslie thinks there will be an issue with publishers trying to negotiate with them as one (instead of 7), as in some publishers will not be willing to negotiate with us as one group. A group will look at how much it would cost.
-
Skyriver is ready to use. Asita will contact James at MIN.
-
Program/Registration Software for room registration (possible use for library or campus). Can also be used for program registration (not just room registration).
-
Decision Center for statistics from III.
-
Technology Committee - James will ask group to help with encore and setup.
-
MyLibrary App - available on app store.
-
Mobile Worklists is ready any time.
-
umain (code for worklists)
-
URSUS Development Day comments: big issue was timing of event. Discussed other issues (vendor presentation, nametags, etc.). Overall staff felt it was useful and time well spent. Target date is first week of August for next development day.
-
Recruiting: Lots of discussion for positions, job description, how to recruit and keep people.
-
URSUS fees: requestor fees dropped. Needs to have some discussion among Circ group. We need to find out what exactly the fee is before we can proceed. Then Deb can discuss with circ group at her upcoming meeting in October.
-
Circ manual: back to Deb, Leslie will work with Deb to finish this.
-
ACRL framework workshop:Bryce chair of MLA, would like to sponsor this as another day (outside of MLA). Bryce will run by his board for all academic libraries, hasn’t set a date yet (thinking spring).
-
Camtasia: will upgrade ours.
-
ID System came up a couple times. Sofia was looking into ID system and was going to work with James (MIN). James was excited about it. Some libraries didn’t know about the pictures feature in Sierra and barcodes not being loaded in patron accounts. The two systems should be able to talk to each other. Someone has to keep the issue going as there are many priorities. Suggest we bring the issue up again with James.
-
Catalogers discussion: misinformation about the type of data being asked to keep (statistics). Directors were asked to go back to their catalogers and explain the importance of this, the goal is not to get rid of catalogers, trying to help catalogers and get a sense of what’s not getting cataloged.
-
Think about why we're keeping statistics. Discussion around the possibility of collaborative work with cataloging (music cataloger for example could help other libraries with music cataloging). The purpose wasn’t to get anyone out of a job, it was more about working towards collaborative work among the university campuses. Directors needed data to understand what was happening in the various tech services areas.
-
Asita sent Leslie and Sofia stats sent to Cataloging group (June-Aug 2017).
-
Encore: does not include EDS/duet. Hoping that when it's time to bid for Discovery services again, pricing might be good.
-
Tech Committee: Sofia suggested looking at API (application programing interface) for Summon to make it more user friendly. Sofia has an upcoming webinar on learning how to create api’s.
-
Kahoot: James loves using it. Easy to use on any mobile device, laptops too.
